Websites & Platforms for Medical Societies

As an Australian medical society website developer with 25+ years experience, I build membership websites for medical societies. I built my first medical society website back in 1999 using FrontPage+. Since then, I’ve supported specialist groups across Australia and New Zealand with everything from membership systems and abstract scoring to annual conferences and secure hosting. Some clients have stayed with me for over 20 years — and I still support them today.

Whether you're a small specialty group or a national organisation, I build platforms that take the pressure off your admin team and give your members a seamless experience.

Common challenges for medical societies

What I build for you

Case study: ANZAN trainee match

The Australian and New Zealand Association of Neurologists needed a way to manage their national trainee match — a complex, multi‑stage process involving intake, scoring, ranked preferences, and notifications. We began by digitising the intake while the matching remained manual, then evolved into a fully automated system over three years.

Today, with well over 100 applicants annually, the match runs at the push of a button — completed in seconds. Admins have full visibility and control across each phase.

  • Collecting applicant data and references
  • Scoring applications and interviews
  • Accepting ranked preferences from applicants and hospitals
  • Running the match algorithm
  • Notifying successful applicants and host institutions

Frequently Asked Questions

How much does a medical society website cost?

Projects typically range from $5,000-$25,000 depending on complexity. A basic membership site with payment processing and member portal starts around $5,000-$8,000. We provide detailed estimates after understanding your specific needs — no surprises, no hidden fees. Unlike monthly SaaS platforms that add up over time, you own the website outright.

Can we migrate our existing member data from our current system?

Yes. We regularly migrate member databases from old systems, spreadsheets, Wild Apricot, Membes, and custom solutions. We'll extract your member data (contact details, membership history, payment records) and import it into your new system with full data validation. Your members won't need to re-register.

Do members need to be tech-savvy to use the portal?

No. We design member portals with busy medical professionals in mind — simple, intuitive, and focused on the tasks they actually need to do (renew membership, register for events, update their profile). We provide help documentation and can offer member training sessions if needed.

How long does it take to build a medical society website?

A standard membership site takes 2-3 months from initial consultation to launch. Complex systems with abstract scoring, conference platforms, or custom integrations take 3-6 months. We work around your conference schedule — if your annual meeting is in 6 months, we'll plan the launch accordingly.

Can members update their own details without bothering our admin team?

Yes, absolutely. Self-service profile management is standard in every member portal. Members can update contact details, preferences, credentials, practice information, and interests. This dramatically reduces admin workload — one society reported saving 15+ hours per month on profile update requests.

How do you handle different membership categories (Fellow, Member, Trainee, Retired)?

We set up as many membership categories as you need, each with different fees, renewal dates, voting rights, and access permissions. Members are automatically upgraded or downgraded based on your rules (e.g., trainee becomes member after 5 years). Different categories can access different content and receive different benefits.

Can we offer multi-year memberships or payment plans?

Yes. We support annual, multi-year, and installment payment options. Some societies offer discounts for 3-year memberships, others let members pay quarterly. We'll configure whatever membership model works for your society.

What happens when someone's membership lapses?

You control the grace period. Common approach: automated reminder 30 days before expiry, another at expiry, then access restrictions after 30 days grace period. Lapsed members can self-renew through the portal anytime. You get reports of upcoming and lapsed memberships to follow up personally if needed.

Can corporate members have multiple individual accounts?

Yes. Corporate or institutional memberships can include multiple named users, each with their own login. Perfect for hospital departments or group practices. You control how many users each corporate membership includes.

Can the website handle our annual conference registration?

Yes. We build full conference registration systems including: multiple registration types (member/non-member, early bird pricing), dietary requirements, workshop selection, abstract submission, accommodation booking, and payment processing. Everything in one place instead of scattered across multiple platforms.

What about abstract submission and scoring for our conference?

We've built abstract management systems for multiple medical societies. Features include: online submission portals, blind peer review, customizable scoring rubrics, reviewer assignment, acceptance notifications, and program scheduling. Our ANZAN client processes 100+ trainee applications annually — the entire matching algorithm runs at the push of a button.

Can we run webinars and record CPD attendance?

Yes. We integrate with Zoom or Teams for webinars, track attendance automatically, and generate CPD certificates. Members can access their CPD history from their portal. We've built systems that handle timezone-aware scheduling for trans-Tasman societies.

How do you handle multi-day conference programs?

We build interactive conference programs with session filtering (by track, time, speaker), personal schedule building, speaker bios, venue maps, and real-time updates if sessions change. Much better than PDF programs.

Which payment gateways do you support?

We can integrate Stripe, PayPal, eWay or others. One important difference from SaaS platforms: you get 100% of your membership fees (minus gateway charges of ~1.75%). No additional platform fees.

How do you handle GST and invoicing?

Your payment gateway handles GST collection automatically. Members receive automatic tax invoices via email after payment. The admin dashboard shows all transactions with GST breakdown for your treasurer. We can also generate financial reports for your accountant.

How do you protect member data and meet privacy requirements?

All member data is stored in secure SQL Server databases with nightly backups. Websites use SSL encryption (HTTPS). We follow Australian Privacy Principles — members can access and update their data, you have data breach procedures, and privacy policies are clear. Hosting is in Australia.

Can you integrate with our mailing list or newsletter system?

Yes. We regularly integrate with Mailchimp, Campaign Monitor, and other email platforms. You can sync member lists automatically, trigger welcome emails when someone joins, and send renewal reminders. Your branding stays consistent across website and emails.

What if we already have a domain name and email addresses?

No problem. We work with your existing domain name and email setup. If your domain is currently pointing to an old website, we handle the migration smoothly with minimal downtime (usually just a few hours, scheduled for quiet times).

Can specialists from different states or countries all use the website?

Yes. We've worked with trans-Tasman societies, national organizations, and international groups. Features include timezone-aware event scheduling, multi-currency payments (if needed), and location-based content (e.g., state-specific events).

Do you work with Classic ASP or can you modernize old systems?

Yes to both. We maintain several Classic ASP medical society websites and can also modernize them to .NET when it makes sense. We don't force unnecessary upgrades — if your current system works, we'll maintain it. When it's genuinely time to upgrade, we'll migrate everything properly.

What's included in your hosting and support?

All medical society websites include: Windows Server hosting with SQL Server, daily backups, SSL certificates, security updates, and technical support. We handle the technical maintenance so your volunteers don't have to.

What if something breaks or needs urgent fixing?

We provide technical support as part of your hosting package. For urgent issues (website down, payment system not working), we respond immediately. For non-urgent requests (content updates, new features), we typically respond within 24 hours with a timeline.

Can we update content ourselves or do we need to contact you?

Both options. Your admin dashboard lets you update news, events, committee lists, and other regular content. For complex changes (restructuring the site, adding new features), we handle those. We'll train your admin team on what they can do themselves.

What happens if you're not available or the business closes?

You own everything — the domain, the code, the database, and the hosting arrangements. Everything is documented. If needed, another developer could take over. That said, we've been supporting some clients for 20+ years with no intention of going anywhere.

How is this different from Wild Apricot or Membes?

SaaS platforms charge monthly fees ($50-200/month = $600-2,400/year), take transaction fees on top of gateway fees, and lock you into their system. You don't own anything. With a custom site, you own the code and data, no transaction fees beyond gateway charges, and it's tailored to your exact workflow. For most medical societies, custom makes sense long-term.

Why not just use a general web developer?

Most web developers haven't built membership systems, abstract scoring, or matching algorithms. We've been working exclusively with medical societies and professional organizations for 25+ years. We understand your workflows (AGMs, CPD tracking, member categories, specialist publications) because we've built them dozens of times.

Can you show us examples of medical society websites you've built?

Yes. Current clients include: Australian and New Zealand Association of Neurologists (ANZAN) — trainee match system, abstract scoring, and conference management; Endocrine Society of Australia — membership portal and webinar platform; Epilepsy Society of Australia — event management and CMS; Australian and New Zealand Bone and Mineral Society — conference platform. We can arrange reference calls with current clients.

What if our needs change or we want to add features later?

That's expected. We've been iterating with some societies for over 20 years. Need to add webinar capacity? Award nomination systems? Online voting for elections? We add features as your society grows. Unlike rigid SaaS platforms, we adapt the system to your evolving needs.

Do medical society websites need to be optimized for Google?

Yes. Your members and prospective members search for terms like "Australian neurology society" or "endocrinology CPD events." A well-optimized website helps them find you, improves member recruitment, and establishes your society as the authoritative voice in your specialty.
